Privacy Policy

This Privacy Policy explains how SmartX Technologies (“SmartX”, “we”, “us”) collects, uses, and protects information in connection with the SmartX Sales & Marketing Management System (“SMMS” or the “Service”), a business application used by SmartX staff and authorised channel partners to manage leads, customers, and sales activities. By using the Service you agree to this Policy.

1. Information we collect

• Account & profile information. When you sign in with Google, we receive your name, email address, and profile picture to create and secure your account.
• Google Calendar data. With your permission (the calendar.events scope), SMMS reads events from your primary Google Calendar to display them alongside your SMMS activities, and creates events on your primary calendar when you schedule a meeting in SMMS. We access only your own primary calendar and only for these features.
• Business data you enter. Records you create in the Service — leads, customers, contacts, opportunities, activities, notes, and related sales information.
• Usage & technical data. Log and device information (such as IP address, browser type, and actions taken) used to operate, secure, and improve the Service.

2. How we use information

• To provide, maintain, and secure the Service and your account.
• To sync your sales meetings between SMMS and your Google Calendar, as described above.
• To generate reports, dashboards, and follow-up reminders for your organisation.
• To respond to support requests and communicate about the Service.
• To comply with legal obligations and enforce our terms.

3. Google user data — Limited Use

SMMS’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Specifically, Google Calendar data obtained through the Service is used only to provide and improve the calendar-sync features you enable; it is not transferred to others except as necessary to provide those features, to comply with applicable law, or as part of a merger or acquisition; it is not used for advertising; and no humans read this data except with your explicit consent, to resolve a support issue you raise, for security purposes, or where required by law.

4. How we share information

We do not sell your personal information or your Google user data. We may share information only with:

• Your organisation. Sales data in SMMS is visible to authorised users within your organisation according to their role.
• Service providers who host and support the Service under confidentiality obligations and only to operate the Service on our behalf.
• Legal & safety reasons, where required by law or to protect rights, safety, and security.

5. Data retention

We retain information for as long as your account is active or as needed to provide the Service, and thereafter only as required to meet legal, accounting, or reporting obligations. You may request deletion of your account data as described below.

6. Data security

We use administrative, technical, and organisational safeguards to protect information, including encrypted transport (HTTPS) and encryption of stored access credentials. No method of transmission or storage is completely secure, but we work to protect your information and review our practices regularly.

7. Your choices & rights

• Revoke Google access at any time from your Google Account at myaccount.google.com/permissions. This disables calendar sync; it does not delete data already stored in SMMS.
• Access, correct, or delete your personal information by contacting us at the address below, subject to applicable law.

8. Children

The Service is intended for business use by adults and is not directed to children under 16. We do not knowingly collect personal information from children.

9. Changes to this Policy

We may update this Policy from time to time. Material changes will be reflected by updating the “Last updated” date above, and where appropriate we will provide additional notice.
